Terms & Conditions
Last updated: 20 August 2026
These terms apply to equipment rented from Stanchions Ottawa (a brand of I Love Events Canada Inc.). Placing an order means accepting them. They are written to be read — if anything here is unclear, ask us before you book.
1. Quotes and orders
A quote sets out the equipment, quantities, dates and delivery for your event. It is confirmed as an order once you accept it in writing, by email or through the quote form on this site.
Quantities added on the day — items the crew supplies on site, or extras you ask for after delivery — are invoiced at the same rates as the confirmed quote.
2. What the price includes
Rental rates include insurance. There is no additional insurance charge on top of your quote.
Delivery is quoted as its own line and includes pickup after your event. Setup and teardown by our crew are optional and, if you want them, are quoted with the order.
Published starting rates are on our pricing page. The figure on your quote is the price for your order.
3. Rental period
The rental period runs from delivery to collection, on the dates confirmed on your quote. If you need the equipment longer, tell us before the collection date and we will re-quote the extended period.
Equipment kept beyond the confirmed period without agreement remains your responsibility until it is collected, and may be invoiced for the additional time.
4. Delivery and pickup
We deliver to the address on your quote, within the access window you give us. Please make sure someone can receive the delivery and that the route to the setup point is clear.
If we cannot deliver or collect because the site is inaccessible, nobody is there to receive us, or the access window has changed without notice, we may need to re-attend and re-quote the trip.
Delivery is quoted with the order, for the address it is going to. See service areas.
5. Use and care of the equipment
The equipment stays our property throughout the rental. Please use it as intended — guiding and marking queues, arrivals and perimeters — and do not modify it, paint it, drill it or attach anything to it that was not supplied with it.
Carpet runners are fixed down with the professional double-sided tape we supply. Please do not use other adhesives on them or on the venue floor.
6. Damage and loss
What is covered: normal marks and minor scratches from a working event. Equipment comes back from a live job looking like it has been used, and that is expected — you are not charged for it.
What is not: damage beyond that, and equipment lost or stolen while it is in your care. Those are your responsibility, and we will invoice for repair or replacement.
Tell us as soon as you know something is missing or damaged — it is easier to resolve on the day than after collection.
7. Cancellation
If you cancel a confirmed order:
| More than 48 hours before the rental date | Full refund. |
|---|---|
| Between 48 and 24 hours before the rental date | 50% refunded. |
| Less than 24 hours before the rental date | No refund. |
Timing is measured against the rental date on your confirmed quote. Cancellations should be sent to info@stanchionsottawa.ca so there is a record of when they were made.
If we cannot supply an order we have confirmed, you are refunded in full.
8. Payment
Invoices are issued against the confirmed quote.
Your equipment is reserved for your event once the order is paid in full. Until then the stock is not held, so on a busy date it is worth settling early.
We will tell you how and when to pay when your order is confirmed.
9. Liability
The equipment guides and marks; it does not make an event safe on its own. Responsibility for crowd management, site safety and supervision at your event remains with you as the organiser.
We are responsible for supplying equipment in working order and for delivering and collecting it as agreed.
10. Governing law
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply in it.
11. Changes to these terms
We may update these terms. The version that applies to your order is the one in force when the order is confirmed. The date at the top of this page shows when it was last revised.
